EASY FOCUS s.r.o. ("we", "us") operates MediaTools Pro — a desktop media management application and the website mediatoolspro.com. This policy explains what data we collect, why, and how we handle it.

2. Data we collect

2.1 Desktop application

• License validation — When you activate a Pro license, we transmit your license key and a hashed IP address to verify the activation. The raw IP is stored for license troubleshooting and fraud prevention. A country code is derived via GeoIP lookup. We store: IP address, hashed IP, country code, activation timestamp, activation count.
• Crash reports (opt-in) — If enabled in Settings, anonymous crash reports are sent containing: error message, stack trace, OS version, app version. No personal data, file paths, or project names are included.
• Update checks — The app periodically checks mediatoolspro.com/api/version.json for updates. No personal data is sent — only the app version in the User-Agent header.
• Local data — All your media files, project sessions (.ft files), and settings are stored locally on your machine. We never access, upload, or process your media files.

2.2 Website

• Google Analytics (with consent) — We use Google Analytics 4 to understand how visitors use our website. This is only activated after you accept the cookie consent banner. Data collected: pages visited, referrer, country, device type. GA4 does not store full IP addresses.
• Newsletter signup — If you subscribe, we store your email address and a hashed IP (for spam prevention). You can unsubscribe at any time via the link in each email.
• Contact form — Messages sent via the contact form store: your email, message text, and IP address for spam prevention and support troubleshooting.
• Download tracking — We count downloads per file for analytics. No personal data is stored — only the filename and a counter.

2.3 Support emails

When you email us at support@mediatoolspro.com, we process your email address, name, and message content to provide customer support. This is based on our legitimate interest in helping our customers. Support emails are automatically categorized (bug report, feature request, question, praise) using keyword analysis for internal prioritization. Only the subject, sender, date, and a truncated excerpt (max 500 characters) are stored in our internal monitoring system.

4. Data retention

• License data — retained for the duration of the license + 1 year after expiration
• Crash reports — retained for 1 year, then automatically deleted
• Newsletter subscribers — until unsubscribe
• Contact messages — retained for 2 years
• Analytics — Google Analytics retains data for 14 months (GA4 default)
• IP addresses (contact form, license activation) — retained for 1 year
• Rate limiting logs — automatically purged after 24 hours

5. Your rights

Under GDPR, you have the right to:

• Access — request a copy of your personal data
• Rectification — correct inaccurate data
• Erasure — request deletion of your data ("right to be forgotten")
• Portability — receive your data in a machine-readable format
• Objection — object to processing based on legitimate interest
• Withdraw consent — for crash reports (disable in Settings), newsletter (unsubscribe link), analytics (reject cookies)

6. Third-party services

• Google Analytics 4 — privacy policy: policies.google.com/privacy
• Stripe (payment processing) — privacy policy: stripe.com/privacy. We do not store credit card data.
• Wedos (hosting) — servers located in the Czech Republic, EU
• ipapi.co (GeoIP lookup) — used during license activation to determine country code

7. International data transfers

Some of our third-party service providers may process data outside the European Economic Area (EEA):

• Google Analytics — Google LLC (USA). Protected by EU–US Data Privacy Framework and Standard Contractual Clauses.
• Stripe — Stripe Inc. (USA). Protected by EU–US Data Privacy Framework. We have a Data Processing Agreement (DPA) in place via Stripe's standard terms.
• ipapi.co — used only for one-time GeoIP lookup during license activation. No personal data is stored by ipapi.co on our behalf.

All other data is stored on Wedos hosting servers in the Czech Republic, EU.

8. Data security

All data is transmitted over HTTPS. Database files on our server are access-restricted (chmod 600). License keys are encrypted at rest. Admin access is protected by session tokens with 4-hour expiration and audit logging.

MediaTools Pro is not directed at children under 16. We do not knowingly collect data from minors.

We may update this policy from time to time. Significant changes will be communicated via the app update notes or website. The "last updated" date at the top reflects the most recent revision.
